Types of Events
Meetings that have no food, media or any special speakers are
usually easy to schedule (depending on space needed). If a function
room is being reserved, a room set up is required. Function rooms
do not have fixed seating like classrooms and the furniture can
be arranged in several configurations. Scheduling Services has
a sample set-up book for all function spaces, which may be consulted
during regular office hours. If Scheduling Services does not receive
a set-up for a function space by the deadline (friday before event)
we will assume your event should be cacelled.

for information on media services capabilities in the various
rooms around the school. If your event occurs after hours (before
8am or after 6pm) or on weekends or holidays, Media Services will
require a 33-digit billing code to which charges will be billed
(Note: Consult Media Services for additional information on charges
for items such as tapes, etc.). Once a room is confirmed, contact
Media Services in L254 at extension 495-0493 or go to

information.
Sodexho is the school's exclusive caterer. All food and beverages
must be ordered through them (including any alcoholic beverages).
All food related events must have a 33-digit billing code prior
to confirmation of the reservation. Once your event is confirmed,
contact Sodexho in LG-25 at extension 6-6231. Exceptions are made
for potlucks and special ethnic events (see section on "Outside
Caterers") with prior approval from Scheduling Services and
Sodexho. If your event requires kosher food, please contact Sodexho
directly.
Should it be determined that
an outside caterer is needed, a "Hold Harmless" agreement
from the outside caterer (see Scheduling Services for this), a
copy of the caterer's insurance policy (which must be for a minimum
of six million dollars), a copy of your order, and a Health Permit
(see next section) will be required by a specified due date. If
these forms are not received by the due date, the catered event
cannot take place. NOTE: Kitchen facilities are not available
to any outside caterer.
Potlucks are allowable for special events with permission from
Scheduling Services and Sodexho. Groups hosting a potluck will
incur a cleaning charge of $50.00. A 33-digit billing code will
be requested for this charge at the time the space is reserved.
A Health Permit from the City of Cambridge and a "Use of
Facilities Form" will be required for this type of event
- see Scheduling staff for necessary forms.
The basis of this policy is to hold events that are part of the
school's programs and mission. "Generic" parties, weddings
and personal events are not scheduled at the Kennedy School. Events
must have a connection to a school event, program or a celebration
of an ethnic/religious event. A "Use of Facilities Form"
will be required (see section on "Use of Facilities Form").
KSG does not support any particular political party or candidate.
