LOST/THEFT/DAMAGE
BORROWING EQUIPMENT
GENERAL USER RESPONSIBILITIES Scheduled classes or events with repeat requests should use the repeating schedule request form. We reserve the right to deny a request if insufficient notice is given to our staff. We will do our best to fulfill last minute requests but we cannot guarantee support if the necessary time or equipment is unavailable. To insure proper setup and billing, a 33-digit billing code is needed for all requests, even for no-charge services. To insure consistency and quality of service, a single course assistant should take responsibility for interfacing with the media staff. Client accounts will be charged accordingly for any equipment, services, or blank media that StudioKSG supplies. If StudioKSG determines a freelance technician is required to cover your event, we will make all the necessary arrangements and your account will be charged accordingly. If it is necessary to rent equipment from an outside vendor, StudioKSG will make the arrangements and your account will be charged accordingly. StudioKSG encourages the client to speak with us prior to scheduling and event that will require our services. Collaborating during the planning stages of the event will allow both StudioKSG and the client to maximize their efforts by knowing the details before-hand. StudioKSG can provide training and consultation for faculty, staff, and CA’s in the use of any audio-visual equipment they request. Cancellation fee:
events with labor cancelled with less than 24 hours notice will be charged a $100
fee Clients can schedule a video conference through our online video conference request form. StudioKSG production services are available for projects directly related to the Kennedy School. Project materials must used within copyright restrictions. We reserve the right to approve or deny the use of source material based on its copyrights.
Clients are responsible and required to obtain all necessary legal documentation, releases, and permissions needed to make their content available for streaming. Clients should file their legal documentation in their own department. The documentation should be available for review at any time. For your convenience, StudioKSG has prepared standard release and agreement forms for customers to use in conjunction with their video content. Download the Guide to Permissions and Release for help understanding what release and permission forms are necessary. If you have questions about any of these releases, please contact us.
Consent for Broadcast and Release StudioKSG can duplicate audio and video tapes, as well as CDs and DVDs. Video tapes, CDs, and DVDs have a maximum of 1 copy per tape/disc. All duplication must be within copyright restrictions. We cannot duplicate copyrighted material without proper permission. The user is responsible for the care of any equipment supplied to them by StudioKSG. In the case of loss, theft, or damage of equipment, the user will be charged for the repair/replacement of the equipment in question. Borrowing equipment for private use is not permitted under any circumstances. Equipment can be signed out to Kennedy School faculty and staff members only. Students cannot sign out equipment. Equipment can be signed out for a maximum of one week. If the equipment is not returned at the scheduled time, a per-day late fee will be charged to your account. When borrowing equipment, the equipment log must be signed by the person picking up the equipment. A valid Harvard ID is required for equipment pick up. The person picking up the equipment bears the responsibility of returning the equipment within one week and in the same working condition as when it was picked up. Replacement of lost or stolen equipment or repairs of damaged equipment will be charged to your account. Equipment availability is limited and is on a first-come first-serve basis. No equipment should be removed from the Kennedy School premises without prior consent. To minimize theft, the user must inform StudioKSG when equipment will be left in a room unattended. To facilitate repairs in a timely fashion, users are responsible for promptly informing StudioKSG when they discover equipment it is not working properly. Please inform StudioKSG of any cancellations of equipment or services as soon as possible. A minimum of 24 hours notice on cancellations is greatly appreciated. Please give 3 days notice when requesting services or equipment. Please give one week notice when requesting audio or video conferences.
